ABOUT THE ROLE
You'll work directly with the CEO of a fast-moving AI-native operations company, coordinating a distributed team of developers, BI specialists, and QA. Right now almost everything runs through one person's head and inbox. Your job is to get it out of there and into a system that runs without her having to ask twice.
RESPONSIBILITIES
Team coordination and reporting
- Sweep Teams, Asana, and email daily. If a task was assigned in a conversation and it's not logged in Asana by end of day, that's on you to catch and enter.
- Know what every team member has open and who hasn't logged their own work. Follow up with them directly.
- Submit a daily report: what you worked on, what you completed, what's blocked.
Inbox and calendar
- Monitor and manage the CEO's inbox. Review automated email drafts before they send. Maintain a 24-hour response standard.
- Manage her calendar across time zones. Send a daily morning agenda with meeting context. Protect her focus and family time blocks.
Hiring and onboarding
- Run job postings end to end: publish, screen applicants, schedule interviews, keep the pipeline moving.
- Run the onboarding checklist for new hires and contractors. Confirm agreements are signed and accounts are ready before day one.
Documents and process
- Maintain and pre-fill standard templates: contracts, NDAs, scope docs, proposals.
- Write and maintain SOPs for recurring processes, using Claude and ChatGPT to build them.
- Keep Notion documentation current, not scattered across half-updated pages.
Quality and workflow oversight
- Review automated workflow outputs. Catch errors before they reach a client or the CEO, and document recurring issues.
- Make sure QA is actually reviewing what it's supposed to review.
Finance admin
- Review weekly expenses. Flag anything over budget or unusual.
External representation
- Book the CEO into industry events, podcasts, and speaking engagements. Prepare event briefs and handle post-event follow-ups.
Sales and follow-up support (short term, until automated)
- Keep sales and client follow-ups moving in the interim. This shrinks as the follow-up system gets built out.
TOOLS YOU'LL USE DAILY Asana for tasks and projects. Notion for documentation. Microsoft 365 for all communications and document management. Claude and ChatGPT for building SOPs, drafting, and reviewing work.
WHAT WE'RE LOOKING FOR
- The three hard requirements above (schedule, English, AI fluency) are non-negotiable.
- The instinct to notice what's missing rather than wait to be told. If something was said out loud but never written down, you're the one who catches it.
- Comfortable working directly with a founder in a company that's still building its own systems. This isn't a mature, fully-documented org. You'll help build the structure as you go.
NICE TO HAVE
- Prior experience in operations, executive assistance, or project coordination
- Experience working with a US-based or fully remote team

Что ты будешь делать
- Писать мини-Технические задания на выполнение работ, включая формирование и описание функциональных и нефункциональных требований
- Оценивать стоимость запланированных работ
- Подготавливать различные управленческие расчеты и отчеты по выполняемым работам, включая привлекаемых соисполнителей
- Согласовывать, рецензировать и оформлять технические задания (ТЗ) с заинтересованными сторонами и гос. заказчиком
- Составлять, рецензировать и согласовывать отчетную документацию по выполняемым работам: Частные технические задания, программы и методики испытаний и прочие отчеты для заказчика по ГОСТ-34
- Оценивать стоимость работ соисполнителей
- Проводить переговоры с соисполнителями, подготавливать проекты договоров, согласовывать и заключать договоры с соисполнителями
- Вести информацию по выполняемым работам в 1С
Мы ждем, что ты
- Имеешь:
- Опыт описания функциональных и нефункциональных требований для ИТ-продуктов
- Обширный опыт написания и рецензирования Технических заданий (ТЗ), Частных технических заданий (ЧТЗ), Программ и методик испытаний, прочей отчетной документации в соответствии с ГОСТ 34 от 4 лет
- Грамотный и красивый русский язык
- Опыт администрирования/управления ИТ-проектами от 3 лет
- Опыт согласования и заключения договоров с соисполнителями на выполнение работ/оказание услуг, включая лицензионные договоры, опыт ведения переговоров по стоимости работ соисполнителей от 3 лет
- Опыт оценки стоимости работ, сопоставления оценочной стоимости работ с себестоимостью от 3 лет
- Опыт работы с с государственным заказчиком и государственными контрактами от 5 лет
- Большой опыт работы с документацией в Confluence
- Умеешь:
- Готовить управленческую отчетность по стоимости выполняемых работ
- Работать со стилями и оформлять документацию в соответствии с ГОСТ 34
Будет классно, если
- Имеешь опыт работы системным аналитиком от 2 лет
- Имеешь управленческий опыт от 2 лет
